Assist paralegals and attorneys with preparation, formatting, and editing various contracts, legal documents and correspondence
This role supports the corporate legal team by providing confidential administrative support in a professional manner. Strong judgment, communication skills, flexibility, initiative, highly motivated or self-starter are critical to the overall success in this position. This position must also build and maintain positive and productive work relationships.
PRIMARY JOB RESPONSIBILITIES:
Track and maintain departmental spreadsheets and calendars
Track and maintain shared document repositories and template agreements
Track and maintain subpoena/complaint logs and corporate record books
Edit and proofread documents ensuring 100% accuracy in work product
Assist with preparation, submission, and tracking of various corporate filings
Request certificates of insurance for outside partners
Work closely with other departments to gather records and respond to outside inquiries and document requests
Track expenses and prepare expense reports
Track and obtain approvals for invoices as necessary
Maintain contract management system and other legal files
Management of incoming and outgoing legal department mail
Provide back-up coverage for executive administrative team
High School Diploma or equivalent required
One-year experience in a law firm/legal department required
Understanding of legal terminology and principles
High level of proficiency in MS Office and Adobe Pro; experience with redlining/track changes functions and version control processes; comfortable formatting and re-formatting legal documents and contracts
Excellent proofreading skills
Must be highly organized with a strong attention to detail, comfortable managing multiple projects and time-sensitive requests while staying on top of deadlines
Excellent written and verbal communication skills
Sound judgment and scrupulous in maintaining confidentiality of information Preferred:
Associates or Bachelors' degree preferred or equivalent experience
PHYSICAL DEMANDS :
Incumbent must be able to communicate effectively.
Requires overall light physical effort (up to 25lbs.)
Manual dexterity and sitting is required in carrying out position responsibilities (i.e. use of personal computer).
Ability to travel or move about within and outside serviced facilities required.
Incumbent works primarily in either a private or shared office environment.
